A questionnaire is not a copywriting task when its answers describe controls, obligations or system behavior. Sales can coordinate the process, but qualified owners must verify the substance and permitted disclosure.
What you will leave with: A diligence response workflow with question ownership, evidence references and approval boundaries.
Use this when
- A prospect sends a security or technical questionnaire.
- Old answers are copied into new requests without checking scope.
This lesson does not certify security, determine legal compliance or authorize sharing confidential system information.
Separate coordination from subject authority
Atlassian’s roles guidance makes responsibilities explicit and surfaces unassigned work. Apply that distinction to the person managing the questionnaire and the people qualified to answer it.
Assign a coordinator to track requests, format and deadlines. Identify the relevant owners for product behavior, security controls, privacy terms, legal commitments and implementation. A sales deadline does not make the coordinator an expert in all those areas. Mark questions with no owner as unresolved rather than distributing them until someone guesses. Confirm the buyer’s submission format and the approved route for communicating clarification questions.
Read the question’s scope before reusing an answer
Check which product, hosting model, region and service tier the buyer means. A correct statement for one offering can be wrong for another. Note whether the question asks about current practice, contractual commitment, independent assurance or a future plan. These require different evidence.
Use previous approved answers as starting points, not universal truth. Record the supporting document, its date and any conditions. If the request asks for an absolute claim, such as an assurance that no incident can occur, do not manufacture certainty. Ask the owner to provide an accurate bounded response or explain why the proposed wording cannot be accepted.
Control the evidence that leaves the organization
Determine which documents may be shared with this recipient, under what agreement and through which access controls. A request for diligence does not automatically authorize the release of internal architecture, vulnerability detail or another customer’s records. Offer an approved summary when it answers the question adequately.
Keep credentials and live secrets out of response files. Have the appropriate owner review attachments, hidden worksheet tabs and copied comments as well as visible answers. Where a response could become a contractual representation, route it through the authorized legal or commercial review. Do not soften a material limitation merely to fit a yes-or-no field.
Submit a verified package and retain its context
Before submission, reconcile contradictions across answers and attachments. Confirm the exact version, approved recipient and outstanding caveats. Track what was sent so a later discussion can refer to the same package, and distinguish approved content from an unsubmitted draft.
Afterward, store reusable answers with scope, owner and a review trigger. Changes in product architecture, policies or assurance documents should prompt review. Close or escalate unanswered questions openly. The goal is a reliable evaluation record, not a spreadsheet that looks complete while its most consequential cells are unsupported.
Make the reasoning concrete.
A fictional software vendor receives a questionnaire asking whether all customer data remains in a specified region. A previous answer applies to a different hosting option.
Reuse the previous yes
Opening: Copy the old answer to meet the prospect’s deadline.
Hypothesis: The questionnaire can be returned quickly.
Risk: The statement may be false for the proposed service configuration.
Route and qualify the answer
Opening: Ask the hosting and privacy owners to verify the specific offering.
Hypothesis: The response can accurately describe current controls and options.
Risk: The buyer may discover a genuine requirement gap.
The coordinator records the scope mismatch, obtains a reviewed answer and shares only approved supporting material. The team does not imply that a planned option is already available.
Take the questions into your next brief.
Use these prompts in your own notes. Nothing is submitted from this page.
Scope
Which product, region and configuration does the question concern?
Owner
Who can verify the substance rather than merely format the answer?
Evidence
What current approved material supports the statement?
Disclosure
What may be shared with this recipient and through which route?
Version
Which reviewed package was actually submitted?
Watch for the wrong conclusion.
- Equating a complete spreadsheet with verified diligence.
- Copying answers across incompatible product configurations.
- Sharing confidential attachments because the prospect asked for evidence.
Your next action
Take one reused questionnaire answer and confirm its current scope, evidence owner and permitted disclosure before sending it again.
