Keep the shared reference in a panel-width comparison
Prepare a two-panel comparison record without silently expanding the artwork review into a fabrication sign-off.

A review request should identify the question the owner needs answered before attaching a technical result.
What you will leave with: A two-panel comparison record with the intended artwork decision and a clearly separated fabrication request.
Use this when
- A side-by-side display review receives a dimensional calculation.
- A producer must distinguish an artwork discussion from a supplier acceptance request.
No calibration or installation conclusion.
Write the two requests separately
A fictional exhibition team is preparing two printed panels for a side-by-side display. Each panel carries a product story, an image and a footer. The artwork reviewer asks whether the pair will look deliberately coordinated. A different message asks the producer to sign off the supplier’s fabrication schedule. The producer has received a small numerical comparison, but the two requests should not be merged into one approval.
Create a record with a separate row for each request. The artwork row names the approved files and the aspect of the composition being discussed. The fabrication row identifies the supplier document and the person authorized to review it. Do not use a vague status such as “dimensions checked” across both rows. That phrase would conceal which question was actually answered.
Keep the panel identities visible throughout the record. Use the left and right artwork references, not just two numbers copied from an email. If the panels are later exchanged in the layout, the producer should be able to update the composition without guessing which document belonged to which object. This is a coordination task, not an opportunity to invent missing supplier information.
Inspect the complete component comparison
Toy millimetre readings obey X = a + B + e1, Y = b + B + e2. Mutually independent, zero-mean B, e1, e2 have SDs 0.4, 0.1, 0.1 mm respectively. B has coefficient +1 in both. Readings 100 and 98 mm give difference 2 mm. Each variance is 0.4² + 0.1² = 0.17 mm²; covariance is 0.16 mm². Subtraction cancels B: difference variance = 0.17 + 0.17 − 2 × 0.16 = 0.02 mm²; standard uncertainty = √0.02 ≈ 0.1414 mm. Replacing B with independent B1 and B2, each SD 0.4 mm and independent of both errors, gives covariance 0: difference variance = 0.17 + 0.17 = 0.34 mm², standard uncertainty √0.34 ≈ 0.5831 mm. Standard uncertainty is not a tolerance or coverage probability; neither calculation approves absolute sizes.
Attach the entire fictional illustration to the internal record. Do not crop it to the smaller result or place a green approval badge beside it. The example has a deliberately explicit construction; the actual supplier record may not contain the information needed to justify that construction. Keep the illustration and the supplier’s statement separately identified.
Ask a focused factual question about the supplied record: which of the two displayed constructions, if either, describes how it was prepared? Request the explanation from the responsible measurement owner rather than selecting the more reassuring result. If the answer is unavailable, record that absence plainly. Do not substitute a familiar instrument name for the missing explanation.
Make a specific artwork decision without signing the supplier form
The artwork reviewer can still discuss the planned composition. For this fictional display, the useful questions are whether the image subjects face toward the center, whether the headline hierarchy is coherent and whether the footer treatment is intentional. Record those decisions against the approved files. A technical question should not prevent the team from documenting unrelated creative choices it can actually review.
Keep the fabrication request open in its own row. Return it to the authorized supplier contact with the document reference and the unresolved question. Do not put the artwork reviewer’s name in the supplier acceptance field simply because that person attended the meeting. The two records have different purposes even when they concern the same pair of panels.
If a colleague proposes stretching one artwork file to make the preview look more even, first ask whether that change belongs in the creative brief. It could distort the product image, change the intended border or alter the approved typography. A hurried visual adjustment should not become an undocumented way of disposing of the supplier question.
For this project, retain the approved artwork and request a labeled side-by-side mock-up for the composition discussion. The mock-up is a review aid, not a replacement for the supplier document. Keep any proposed artwork revision as a new version with its reason stated, so the next reviewer can distinguish a deliberate design change from a response to unresolved technical correspondence.
Deliver a record that cannot be mistaken for blanket approval
The completed record should make the next actions obvious. One row contains the artwork decision and the agreed file references. The other contains the supplier request, its owner and the unanswered question. Link the internal illustration as background rather than pasting its result into an acceptance field. The record should remain understandable when forwarded without the meeting conversation.
Use ordinary status words with explicit objects: artwork reviewed, supplier response pending, or revision requested for a named file. Avoid “all approved” when one participant has reviewed only the visual arrangement. Equally, do not describe the entire exhibition as blocked if the remaining question concerns a particular document. Accurate status helps the producer sequence the next conversation.
When the supplier returns an explanation, keep the original request and the response together. Let the authorized owner decide what additional review is required. The producer’s contribution is a coherent handoff that preserves the creative decisions and the outstanding technical question without allowing one to overwrite the other.
Close the exercise by writing the two-row record, not by altering an instrument, changing the fabrication schedule or approving a physical installation. The panel artwork remains traceable, the illustration remains clearly fictional and the person receiving the supplier request can see precisely what remains unresolved.
Make the reasoning concrete.
A fictional exhibition producer receives both an artwork-review request and a supplier acceptance form for a coordinated pair of panels. A colleague wants one approval to close both messages.
Use one approval for both requests
Opening: Forward the internal illustration with a blanket approval reply.
Hypothesis: Both messages disappear from the queue.
Risk: The reply claims a review that no authorized owner performed.
Maintain two explicit decisions
Opening: Record the artwork discussion and return the supplier request to its named owner.
Hypothesis: The project can progress without losing the unresolved question.
Risk: The producer must follow up on the outstanding document rather than hiding it in the artwork status.
Choose the second option and preserve the approved artwork while the supplier question is resolved.
Take the questions into your next brief.

Panel identity
Which left and right artwork references belong to this review?
Creative request
What composition decision does the reviewer actually need to make?
Supplier request
Which document and authorized owner govern the separate acceptance?
Technical question
Which displayed construction, if either, does the supplied explanation support?
Status
What is complete, and what exact response remains outstanding?
Watch for the wrong conclusion.
- Copying a reassuring result into an unrelated approval field.
- Stretching approved artwork to conceal an unresolved supplier question.
- Using a meeting attendee’s name as authorization for a different review.
Your next action
Prepare the two-row record with artwork references, the supplier document and one named owner for each outstanding decision.
