A reference customer is a person offering time and experience, not a reusable sales asset. Good coordination protects their choice and helps the prospect ask questions the reference can actually answer.
What you will leave with: A reference-call request and briefing process with clear scope, permission and follow-through.
Use this when
- Prospects ask to speak with an existing customer.
- The same enthusiastic customer receives repeated introductions.
This is not permission to share customer identities, confidential results or a contact’s details without the relevant authorization.
Identify the question before choosing a logo
The FTC’s substantiation policy concerns objective advertising claims. If reference comments later become promotional claims, they need separate review; a private conversation is not blanket publication permission.
Ask the prospect what experience they want to understand, such as implementation effort or a particular operational workflow. Choose a potential reference for relevant experience rather than brand recognition alone. A famous customer using a different product may not answer the question. Check internal restrictions and the customer relationship owner’s process before making any request or sharing an identity.
Ask the reference with a genuine choice
Explain who wants the conversation, the topic, expected commitment and proposed format. Make declining easy and do not imply that service quality depends on helping sales. Confirm whether the person can speak for their organization or only about their own experience.
Keep a record of recent reference requests so one generous contact does not become the default for every deal. Respect topic boundaries and availability. If the customer agrees, clarify which contact details may be shared and with whom. Do not send an introduction first and assume they will be comfortable once it is already public.
Brief for context without coaching the answer
Give both parties a short agenda and explain any confidentiality limits. The reference may benefit from knowing the prospect’s use case, but they should not receive a script telling them which benefits to claim or which difficulties to conceal. Honest limitations can be useful to evaluation.
Agree whether the seller attends and whether notes or recording are permitted. Do not turn a reference conversation into an unexpected testimonial interview. If a question concerns confidential implementation detail, provide a way to decline or redirect it. The purpose is to learn from a relevant experience, not to extract every detail the customer is willing to mention.
Close without converting the call into content
Thank the reference through the agreed route and record only the operational details needed to manage future requests. Ask the prospect whether the original question was answered and identify remaining work without demanding a favorable verdict.
If somebody wants to quote the reference publicly, start a separate approval process for wording, audience, attribution and any material relationship disclosures. A seller’s notes are not authorization to publish. Review whether the reference is still available for future requests rather than assuming one agreement creates an indefinite obligation. Protect the relationship by ending the task cleanly.
Make the reasoning concrete.
A fictional enterprise service has a customer willing to discuss implementation. After a useful call, the seller wants to add a favorable sentence from their notes to a public landing page.
Publish the remembered sentence
Opening: Treat the reference agreement as permission to reuse praise.
Hypothesis: The quote could strengthen promotional material.
Risk: The wording, public audience and attribution were never approved.
Keep the permissions separate
Opening: Use the call only for the agreed evaluation and request separate testimonial approval if desired.
Hypothesis: The customer controls the new use of their words.
Risk: The public quote may be declined or require correction.
The seller thanks the reference and does not publish the note. Any promotional request is reviewed separately, including exact wording and the customer’s permitted attribution.

What relevant experience does the prospect need to understand?
Choice
Has the reference accepted this specific request?
Boundary
Which topics, identities and contact details may be shared?

Reuse
What separate approval would publication require?
Watch for the wrong conclusion.
- Choosing a famous logo with irrelevant experience.
- Introducing people before the reference agrees.
- Treating permission for one private call as permanent testimonial permission.
Your next action
Before your next reference request, write the buyer’s exact learning question and the customer’s choice about topic, time and format.
